Reporting Upgrades

Customized Excel Reports
 
Create reports with just the information you need. Choose from any of the following to add to your custom report:
  • volunteer contact information fields
  • general custom fields
  • custom qualification fields
  • status
  • date joined
In creating your custom report, you can filter your volunteers to include only the applicable ones. Filtering elements include:
  • address fields
  • general interests  (new fields!)
  • general availability (new fields!)
  • activity category placements
  • activity placement
  • shifts
  • custom fields
  • qualifications
  • committees
  • outcomes (new customizable fields!)
  • hours logged
New comparative reports

Compare the number of volunteers and number of hours between two date periods. For example, a report could show the number of volunteers and hours for the period January 1, 2009 to December 31, 2009 and on the same report show the corresponding information for January 1, 2010 to December 31, 2010. You can specify any dates in customizing the reporting periods.

New Graphic Representations

Horizontal bar graphs have replaced pie charts for easier interpretation.

Outcomes Reports

Volunteers can see the totals of their own Outcomes in MyVolunteerPage.com.
Outcomes can be reported across all accounts in a Volunteer Umbrella

Filters

Filtering on a customizable group of volunteers is available on additional
hours-and-number-of-volunteers reports and on outcomes reports.

Others

There are other report enhancements in the works but we have yet to determine whether or not they will be released in the next upgrade. We will keep you posted though!

Custom Fields and Qualifications Upgrades

General Custom Fields

Check box field
  • We have added a single check box to our list of various types of fields that you can have in your volunteer application and profile
Required fields
  • Now you can make fields required on the initial application but optional within the volunteer profile.
Drag and drop editing
  • The order of the custom field can be rearranged simply by dragging and dropping the feild to a new place on the list.
Improved Navigation
  • Editing a custom field uses an overlay making it easier to go back to the list of custom fields if you want to edit another one.
Custom Qualifications

Optional qualification expiry dates
  • With the new upgrade you can have expiry dates in each volunteers’ profile such that when the volunteer’s expiry date on a qualification occurs, the volunteer is no longer considered to have that qualification. This could be used for any sort of training that requires re-certification, criminal background checks, health related screenings etc.

Communications Upgrade

New email features

  • Save an unlimited number of email templates for frequently used email communications and use them at any time 
  • Include multiple attachments with your emails. (We’ve had numerous requests for this one!)
  • Format the text in emails and in the email signatures
  • Volunteers with two email addresses on file receive emails in both places 

Communicate in new ways

  • Send text messages to all volunteers set to receive text messages or use any of the custom filters to create messaging groups on the fly

Communicate right form the volunteer profile

  • Sending an email, texting or adding a message to a volunteer's MyVolunteerPage can all be done directly within your view of the volunteer's profile

Print labels easier

  • New label formats for UK and Australia (A4 paper) 


New filters for creating communications groups include:

  • General availability
  • General interests
  • The new status settings (applicant, in process, approved, on leave (short and long)

Activity Profile Upgrades


Automated shift closures based on time
  • Option to hide shifts from volunteers x hours before the shift begins when you don’t want last minute sign-up
Shift Templates
  • When creating new roles or adding additional shifts to an existing role, you can call on a customized templates of shifts to populate a role’s schedule template (E.G. pick a shift template the has two shifts a day each weekday and then pick the how far out you would like to create a schedule template. That’s it!)
Role Editing
  • Change the status of activities between active and inactive on multiple activities at once
  • Editing an role uses an overlay making it faster to go back to the activity list to work on another one
Greater control over which volunteers get to see individual activity


Whether or not a particular role is visible to volunteers is based on an expanded list of volunteer statuses and you can choose multiple statuses.
* Not visible to volunteers other than those you assign to it
* Pre-applicant
  • thinking of applying to volunteer but has not done so yet
* Applicant - not qualified
  • someone who has filled in an application
  • according to their application, is not qualified to fill this particular role
* Applicant – qualified
  • someone who has filled in an application
  • according to their application, is qualified to fill this particular role
* In Process - not qualified
  • an applicant with whom you have begun your intake process
  • is not qualified to fill this particular role
* In Process – qualified
  • an applicant with whom you have begun your intake process
  • is qualified to fill this particular role
* Accepted - not qualified
  • a volunteer you have accepted to be a volunteer
  • is not qualified to fill this particular role
* Accepted – qualified
  • a volunteer you have accepted to be a volunteer
  • is qualified to fill this particular role
* Inactive - qualified
  • a volunteer who was accepted as a volunteer in the past
  • is now on a leave (short or long)
  • is qualified to fill this particular role
Greater control over automating the assignment process
  • Version 3.0 provides you with greater flexibility over who you allow the software to automatically assign to a shift when they sign up for one
  • Auto-assign functionality can be based on the same statuses as listed under the visibility bullets immediately above

Volunteer Profile Upgrades

Contact Information
·   The main contact screen has a place for a picture of the volunteer.
·   Secondary email address – emails are automatically sent to both addresses (cc’d to the secondary one)
·   At least one email is required on the online application form application (not when you add a volunteer though)
·   Province/State list is driven by country selection. (E.G. if USA is selected then only the American states will appear.)
Availability
·   We’ve added a new section for general time availability – Sunday through Saturday: morning, afternoon, evening, night.
·   There is a new section to show the customizable general interests with simple tick boxes for volunteers to indicate their interests.
Availability / Assign
·   Just like you can filter to show only Monday shifts (for example)  you can filter on the individual shift in 3.0 (eg show only the Monday morning shifts). From there you can assign a volunteer to all of them.
New Hours Log Tab
·   Data input section for adding hours right in the volunteer’s profile
·   Display includes key stats such as hours worked this year and to date, shifts to date, hours by month, last ten hours logs (like on MVP) and outcomes to date
Miscellaneous
·   Active and approved statuses have been combined into one field and new statuses to reflect the whole volunteer lifecycle have been added to the – Applicant, In process, Accepted, Inactive (short term or long term)  or Archived (resigned, fired, moved, deceased).
